WAOS significantly enhances the efficiency and convenience of the New Customer Acceptance (NCA) and account opening process for both clients and company personnel. It features centralized document management, ensuring all entered information is securely stored in a single repository. This streamlined approach allows for easy and safe data storage, subsequent analysis, and review by authorized individuals, greatly improving this critical aspect of commercial operations.
WAOS ensures the highest level of security in initial client communications by utilizing encrypted channels. This guarantees that all interactions are secure and confidential from the outset, protecting sensitive information and fostering a trustworthy relationship. The system employs proven security measures to ensure secure communication between users and the server, preventing the use of less secure methods and significantly reducing the risk of confidential data disclosure. This robust approach enhances data protection and maintains the confidentiality of all interactions.
The initial AML risk analysis in WAOS is a fundamental tool that aids companies in efficiently and effectively assessing the risks associated with onboarding new customers. This feature provides greater control and security in the new customer acceptance process, ensuring a robust and compliant approach to risk management.
As part of the initial KYC procedure, WAOS requests a set of basic documents based on the entered information and the preliminary risk assessment. Customer onboarding cannot proceed without these documents. Once the initial KYC is completed, the process seamlessly continues in CAMS iTech, ensuring a thorough and compliant onboarding process.
The integration with Adobe Sign in WAOS simplifies and modernizes the document signing process, saving time and resources by conducting the entire process digitally, securely, and efficiently. This benefits both companies and clients by streamlining document management and ensuring the legal validity of electronic signatures. Additionally, the system includes a built-in feature for generating and completing PDF forms for digital signing, further enhancing the overall efficiency and convenience of the process.
The internal messaging system is an essential tool that enhances communication and collaboration among users, contributing to more efficient management of the entire process of accepting new clients and the subsequent provision of services. It ensures the security and confidentiality of customer communications and data, streamlining operations and improving overall efficiency.
Customer participation in sign-up is crucial as it prevents confidential information from circulating among multiple individuals for system input, mitigating security risks. This feature encourages direct interaction with the customer (or potential customer) and helps prevent the entry of incorrect information. However, if the customer chooses not to participate in this process, the staff can still complete all necessary information internally.
Once customer information, along with their documents and risk assessment, is collected, it is exported to our CAMS iTech system to continue with daily operations. This system automatically controls validity and requirements based on the services contracted, ensuring seamless and compliant ongoing management.
Second factor authentication techniques (2FA) are integrated during the login process, utilizing tokens sent via email and/or SMS to enhance system security.
○ An integrated workflow enables an unattended mobile process carried out by your clients, where basic information such as email and mobile phone numbers is validated. Using the mobile camera, a proof of life is conducted to confirm that the selfie is from a real human being. ID document pictures are then validated against the selfie, and proof of residence is uploaded and verified.
Every action taken within the system is logged, allowing for the monitoring of forensic activitiess.
